Meeting called to order at 12:40pm on December 18th by President Larue Austin at Larry Dodge’s house

Minutes from last meeting were read and motion made to approve by Bian Armison, 2nd Jackson Sterle, all in favor.  Minutes from the Annual meeting were read and motion made to approve by Larry Dodge, 2nd Tom Newman, all in favor.

Old Business:

Banquet: Thank you to Terry Riese for all he does with the prizes, and Tom Newman for taking care of the door. Everyone thought it went well, but there were a few issues that we will address at a later date.

DYN: We talked to Lynn Bennett and will get the machine into his shop to fix the antifreeze leak once Spring comes, as he didn’t have an open spot in October.

Boat: The jack needs a little work to make it safer than the current one.  Larry will check on some options and have it fixed before next season.

Spring Pull: April 29, 2017 has been reserved and should be all set.

Rules were discussed and only a few updates were made.

Nominating Committee is working on next years options will get back with options at the next few meetings

Point System / Appreciation Awards Terry will be in charge again next year.  Discussion made to increase the point system prizes from 3 to 5 winners, will address again at the next meeting.

New Business:

Fair Convention – January 14-15th.  The following will be attending both days - Robert Simpson, Jackson Sterle, Tom Newman, Kelly Smith, Doug Smith, Larue Austin.  Attending Saturday: Brian Armison, Rusty Milhollen. Attending Sunday: Bob Quail, Brian Resseguie, and Larry Dodge.

Larue, Nate, Doug & Larry met with Forksville on December 11th and Forksville would like to try something different and have both classes on one day, likely be a Thursday. They are going to run it by their fair board and be back in touch with what the board says.

Motion made by Tom Newman to renew membership with horsepullresults.com, 2nd by Larry Dodge, all infavor.

Motion made by Robert Simpson to have $20 raffle for annual spring pull, 2nd by Larry Dodge, all in favor.

Brian Armison has looked into other options to have the banquet and has found a few options that may work.  Best Western in Sayre, PA, the Radisson, and the Harbor Hotel.  Nate made the motion to have the banquet at the Best Western in Sayre, PA November 4, 2016, 2nd by Ed Dunn, all in favor. 

Cayuga County Fair contacted Brian want to continue having a horsepull, date may change to later in July but they will get back in contact with Brian.

Old Business:

Fair Season: everyone feels it was a good summer.  There will be some discussion on a few different pulls to try to get some issues figured out. Larue wants to thank everyone that fulfilled their job assignments and Steve for running the truck

The boat trailer is all set, Larry will winter it at his house. He has new LED taillights to put onto the trailer before next season.

The scales and DYN will be stored at Doug Smith’s for the winter.  Steve Brown would like to have a toolbox to put tire chains in, and have installed under the body of right side.  Once it returns from the Roundup Doug will make an appointment at Lynn Bennett’s to get the antifreeze leak looked at.  Larue would like to put a coat of wax on it to help preserve the new paint, Nate will take care of.

Appreciation Award: there are 15 that qualify for the appreciation award this year.  Francis Root, NY Connection, Doug Smith, Lori Root, James Tingue, Robert Simpson, Wayne Dodge, Armison / Milhollen, Brian Armison, Larry Dodge, Dunn Brothers, Bill Fisher, Karl Root, Jackson Sterle, Brian Allen.  They will each receive $20 if they attend the banquet.

Point System: Motion made by Nate Wooster to have the point system prizes to be as follows: 1st - $150 gift certificate to Sugar Valley Collar Shop, 2nd - $100 gift certificate to Sugar Valley Collar Shop, 3rd - $75 gift certificate to Sugar Valley Collar Shop, 2nd Larry Dodge, all in favor.

The Banquet will be held on November 12th, cash bar will begin at 5:30pm, dinner will be at 7pm.  Menu will be the same as it has been in the past.  Motion made by Brian Armison to have Duane Hopkins DJ the banquet, cost will be two dinners and a room at the Owego Treadway, 2nd Brian Resseguie, all in favor.  Terry will once again do the prizes and we will reimburse him for the cost.

New Business:

Spring Pull: Albion contacted us to see if we are interested in booking through them again.  Motion made by Brian Armison to have Spring Pull in Albion, NY on Saturday, April 29, 2017, 2nd by Jackson Sterle, all in favor.

Fair Convention: will once again be attending at the Radisson, January 14-15, 2017. 

Brian Armison has asked to have a set of rules provided to every board member at the next meeting.  Will print and give out at the next meeting.

Nate is going to check on a clothing and apparel vendor that is near him and come back to the next meeting with some pricing and other options that we could possibly look into.

Old Business:

Spring Pull:  Larue wanted to thank everyone that helped at the spring pull.  The only complaint we heard dealt with the speaker system - we will need to figure out the best place to set the speaker system up next year, as there was some trouble hearing in some spots. Multiple comments on how nice the truck looked – will send a thank you to Don Wooster for the nice job he did.

Dynamometer:  There has been a chatter as the machine slows down at the end of a pull.  Larue and Nate took it to Parker’s machine shop and they determined the chain and the sprockets are ok, but there is a bearing in the idler sprocket that is bad, they are going to put a new bearing and shoulder bolt on that.  We will see if that fixes the issue and go from there.

Morris: It doesn’t look like there will be a pull this year, we will try again next year to see if we can get in there

Committee Reports: Nothing new to report at this time.

Point System and Appreciation: nothing new to report, will keep the same as it has been in the past years.

Banquet: the date will be November 12, 2016

New Business:

Machine Operator: Brian Armison mentioned that Steve Brown is interested in running it at a few pulls this summer.  Larue also mentioned that he could run it at some pulls as needed.

Boat:
Larry will continue to take the boat.

$100 Raffle: Motion made by Tom Newman to continue to have the $100 raffle at the banquet, 2nd by Ed Dunn all in favor.

Ads:  Schaghticoke placed in an ad in our Spring Pull program – they are asking that we return the favor and place an ad in their 3 day event poster. We will also place an ad in JoJo’s program for her upcoming pull to match the ad that she places in our program.  Motion made to put an ad in both Schaghticoke and JoJo’s program to match the ad they put in our program by Brian Armison 2nd by Larry Dodge, all in favor. 

Owego: the date will be July 5th and will start at 6pm.

Old Business:

Fair Convention: everything went well, still waiting on a few to sign, but the majority that we have had in the past are all signed.

Machine Operator: still looking for an operator, Brian Armison is checking with Steve Brown to see if he would be interested in running the machine at a few events to help out. 

Machine: Nate’s dad is going to paint the cab and the bed of the truck before the Spring Pull, the rims will be done and installed and will cost approximately $800.  We will look into the 2 speed switch in the rear end as there were some issues with it towards the end of last season. Motion made by Jackson Sterle to have Nate’s dad to look into and fix the 2 speed while its there getting painted, 2nd by Brian Armison, all in favor.  Motion made by Brian Armison to have Nate’s dad also get vinyl decals made to put on the machine after its painted, 2nd by Jackson Sterle, all in favor.

Old Business:

Banquet: Everyone feels the banquet went well.  Jackson brought up that it was a great idea to sell the leftover stock of clothing that way we can start fresh each year.  Everyone thought the band was good, will look into what to have next year.  Larue would like to thank Tom and his girls for doing the door and also Terry for doing the prizes for the teamsters and spectators.  We will once again do the point system and appreciation award which Terry will be in charge of.  We will also continue to do the $100 raffle next year.

Spring Pull: Discussion was made whether to have it April 30th or May 14th.  Jackson made a motion to have the spring pull on April 30th in Albion, NY, 2nd by Brian Armison, all in favor.  Brian talked to Nick regarding the bleachers – Nick’s dad will still be interested in donating one set of bleachers, and working on the advertisements.  Mike Ward talked to Brian Armison regarding having a mini pull on Friday night.  Motion made by Brian Armison to let the minis pull from 6-830pm on Friday, April 29th, 2nd Jackson Sterle, all in favor.  They will definitely need to be done by 8:30pm so that teamsters can work their horses to get ready for Saturday.

Machine (DYN): We need to find a new operator for the upcoming season.  Larue will help out again but can’t run it all summer.  Tim Livermore and O’Henry Lovejoy both have expressed interest, we will check into both of these options and discuss again at the next meeting.  Larue talked to Teddy White at the banquet and he does have the rims for the truck – he will get them to Jim Cady.  Once Jim gets them Larue will take them to the place in Towanda.  Discussion made to repaint the cab, motion made to have the truck repainted and have the rims done before the Spring pull by Jackson Sterle, 2nd Ed Dunn, all in favor.  Brian Armison will check into a back window picture and see what the cost is on that and come back to the next meeting

Boat: Larry has ordered new chain numbers for the boat, will look into a new ruler as well

Advertising: Ed has talked to people from channel 9 in Syracuse who has a weekly community calendar type advertisement that we can add on free of charge.  We can also advertise on Facebook under the NYSHPA page. Ed also mentioned each director should take the initiative to reach out to their local stations so that we can get the word out more.

Hats & Shirts: Larue is still working with Caroline on upcoming hats and shirts, should have something by the next meeting

Committee report: Bob Simpson, Larry Dodge, and Julie Dodge will be the nominating committee for next year.

New Business:

Fair Convention: Convention will be on Saturday and Sunday, January 16th and 17th.  The following will be going both days, Bob Simpson, Mike Hartwell, Jackson Sterle, Tom Newman, Larue Austin, Doug Smith and Kelly Smith.  Brian Resseguie, Rusty Milhollen and Brian Armison will attend on Sunday.  Something to discuss at the fair convention would be possibly having the fairs doing some advertisement for the pulls.  Will bring up having different classes with some fairs and see what they think of the idea.

Discussion was made regarding the numbers and whether to order an additional set, one to put in the machine and one to keep with the boat.  Nate made a motion to use the numbers that we have for now and if they are used frequently we can get another set later on, 2nd by Tom Newman all in favor.

Spring Pull: Motion made to have the raffle again at the upcoming Spring pull by Tom Newman, 2nd Jackson Sterle, all in favor.  We will do the program for the Spring Pull again and work on getting new ads.  Will also still waive the entry fee for any teamster that puts in at least ½ page ad.

Old Business:

Larue would like to thank everyone that helped out this summer.  Fair season overall was a pretty good summer.  Isn’t much that anyone feels should be changed. 

Machine – Larue mentioned that the two speed needs to be looked at.  Also still need to look at the antifreeze leak.  Would like to look into new rims for the back tires, we will check with Teddy and see if he can still get them, and if he can’t get them we will change them ourselves, Larue has a price of about $7-800 for a set.  Larue also mentioned repainting the cab which would cost approximately $1200.  Will bring up at the next meeting and discuss further.  Larue and Nate replaced the cable this season – Jackson brought up that we should look into getting a replacement cable just to have on hand.

Boat Trailer – Larry will work on painting the back deck where it has peeled, but everything else should be all set.

Appreciation Award: Terry reported that there are 11 contestants that qualify - Doug Smith, Francis Root, Ira Kessler, Robert Simpson, James Tingue, Mike and Sherri Hartwell, Brian Armison, Armison Bros, Jackson Sterle, Larry Dodge, and Canniff Family.  Discussion made to change the award for those that attend more than than 8 pulls to give them a little more as an appreciation award.  We will discuss at a later date, right now we will leave it the same.

Point System Prizes: 1st prize: Jackets, 2nd prize: chair, 3rd prize: halters, Jackson made motion to have the above prizes for the point system winners, 2nd Tom Newman, all in favor.

Banquet: We will do the same meal that we have had the last couple years, cost for non-members will be $30/person. Cash bar will start at 6pm and dinner at 7pm. The band will be the same as last year. Tom and his girls will work the door and do door prize tickets.  Room rate will be $109.95+tax. 

Hat & Shirt: will get more inventory before the next season, Larue will check into what we can get and bring it to the next meeting. 

Fair Convention: will be January 16th and 17th will discuss who is going at the next meeting

Spring Pull:  Discussion made of whether to have the spring pull.  Motion made by Brian Armison to have Spring Pull in Albion, NY.  We will confirm the date at the next meeting, we have it narrowed down to April 30th or May 14th.  We will check on other pulls and make sure it isn’t conflicting and will confirm with New Orleans County Fairgrounds. 

Machine Operator: We need to find a new operator for the machine.  Terry brought up that Tim Livermore has expressed interest in running the truck, we will discuss at the next meeting.

Terry made a motion to compensate Lee Reichel $300.00 for all the hard work and pictures he takes throughout the season, 2nd Larry Dodge, all in favor.

Terry would like to have a single horsepull championship, or some kind of different class.  We will discuss that at the next meeting.

Ed would like to see more advertising done in the future – Ed will bring back a detailed report of ideas that we can try.  Terry and Tom will assist in bringing some ideas back to the table at the next meeting. 

Larue asked Bob if he would be interested in running the truck at the Spring Pull – Bob will think about it and let us know at the next meeting

Spring Pull: Larue would like to send out thank you cards to Mike Ward, Nick Nesbitt, Orleans County 4-H, East Draft Horse Association, Bill & Bob Howard,  Jenn Wooster for their donations and help towards the pull.   There was discussion regarding the bleacher costs and to reimburse Nick Nesbitt and his father back for the additional bleachers of $1,000.  Motion made by Nate Wooster to reimburse the Nesbitts $1,000 2nd by Jackson Sterle, all in favor.  Motion made by Jackson Sterle to send Mike Ward another $150 to reimburse for the cost of food and supplies for the welcome party 2nd by Larry Dodge, all in favor.  Larue mentioned the track and how to improve it, Larue said that next year we would need to water it down the night before to improve track conditions. 

We have a few sweatshirts which are leftovers from 4-5 years ago, we are talking about either giving it away as a 2nd place prize for 50/50 at one of the upcoming spring events, or as a clearance item. 

Machine operator: Bob can not run it again this year, we need to find someone to run it throughout the year. There is a small antifreeze leak which needs to be looked at before it gets to be a problem. We will check with Kyle to see if he has time to look at it, if not we will take it to Lynn Bennett to get it fixed.

Boat Trailer: Larry will take the boat trailer to the upcoming pulls this season.

Old Business:

Fair Convention – everything went well, a few changes in fair schedules, fairs will give out ribbons.  Next meeting we will go over honoring weigh slips at certain pulls and also jobs for pulls. Honesdale will move their pull to 1pm.  Woodhull will be having a pull again still in contact with them to get date and time set.

Machine: Do we want to fix it before the spring pull or after?  Discussion made to have the machine fixed before the Spring Pull, will get ahold of Roger Pendell and see his schedule.  We will need to find a machine operator for the upcoming season.

Insurance: Nate heard from Rick on what they pay for 10 events, will check into it more thoroughly and see what kind of estimate they can give us. 

Spring pull will be April 25, 2015 in Albion, NY

Banquet: Larue would like to thank Terry for everything he did for the prizes to the pullers, Doug for booking the band and Tom and his girls for giving out the door prizes.  Everyone was impressed with how well the banquet went over and were happy with the band.  The banquet will be tentatively scheduled for November 14th.  We will send a thank you card to Caroline for all her work on the shirts.  There were a few suggestion cards regarding the banquet – some people looking for other options for food, leave the food out a little longer.

Machine: Doug has talked to Roger Pendell regarding fixing the chain, sprockets, and shaft. He is interested in fixing it and will come over and take a look.

Boat Trailer: Everything is good to go.

Insurance: Nate is still in the process of checking with Rick Brown.

Spring Pull: April 18, 2015 would be the date at NYS Fairgrounds.  Motion made by Mike Hartwell to have a Spring Pull, 2nd by Tom Newman. 

Motion made by Brian Armison to check with Albion to have Spring Pull on April 25th 2nd Nate Wooster. Motion made by Brian Armison that anyone that runs a ½ page ad for $150, and is mentioned in the ad, then brings a pair of horses entry fee is waived at the spring pull, 2nd by Ed Dunn, all in favor.

 We will mail out the unclaimed point system prizes from the banquet.

Suggestion box from the banquet, ideas given were to have an amateur pull, or kids pull, to have an overweight, or single pull.  Suggestions from board members – put on more of a show for the crowd, have shirts made up with all point pulls and give out 5 or so to the crowd, overweight pull in Cato, more single pulls, get more young people involved, teamsters improve dress code – try to be neat, improve advertising

Old Business:

Fair Pulls: Larry inquired if we heard anything back on the oxen deal with Chemung County, nothing has been heard from them so we assume the teams are not needed.  Weedsport was overall happy with the pull and turnout.  Honesdale is wanting to know what they can do to get more teams, happy with spectators but were disappointed in the turnout of teams.

Machine: There are a few repairs that need to be done before next season, the chain that runs the pump is stretched, the sprockets needs repair, along with a small antifreeze leak which should be looked at. Doug will check with Roger Pendell to see if he is interested in making the necessary changes. 

Boat Trailer: Going to throw a new coat of paint on the headboard but other than that everything is good to go

Sound System: Everyone impressed with the sound system – no complaints

Appreciation Award: There are 7 teamsters that qualified for the lightweights, and 6 teams for the heavyweights.  Put a note on the individual newsletter for those winners stating that must be present to win the $200 prize.

Point System Winners: We will give away the following prizes: 1st pair of bridals (one for lights and one for heavies), 2nd place one chair per class, 3rd place denim shirt.

New Business:

Banquet: time of banquet will be the same, cash bar will be 6-7, dinner at 7pm. Door will be open at 5:30, band has been booked “Boots On”,  Will give out tickets for door prizes.  Menu will be the same as last year, beef/chicken, salad, etc.  Larue mentioned inviting Teddy White from Woodhull, and the gentleman that fixed the scales, Lee Reichel.  Motion made to give Terry a $200 subsidy for the gifts/prizes at the banquet. 

Insurance: certificate of insurance now costs $25 each to get.  Nate will check with Rick Brown on their insurance coverage for the Laurel Highland Assoc to see if we can get under the same plan, or get us an agent name in this area.

Fair Convention: January 17-18th will discuss at the next meeting after the banquet.

Spring Pull: date is not set in stone yet for April 18th, with the fairgrounds.  The lady at the fairgrounds assured Doug that she would know by the banquet time if the date was open, if its booked we will announce at the banquet the date.

Appreciation/Attendance Award in the upcoming year may consider changing the stipulations, make it so the more you come the more the appreciation award you can get.  Attend 8 pulls get $200 (as in the past), 9-12 pulls $300, 13-15 pulls $400, for example.

Looking for new ideas to change or improve the sport of horsepulling. directors will come to the next meeting with ways to try to improve the sport.

Spring Pull: Larue would like to thank everyone for their help.  Overall was a good pull – but there was a lack of spectators, need to decide how to get more people or whether to have at a different location next year.  Would like to send a thank you card to the 4-H kids, for all their hard work on the food.  Also, send Bill & Bob Howard, Eastern Draft Horse Assoc. and Rusty VanEtten a thank you for their donations of blankets and shoes, also send one to Bill Torrey for his help with the program sponsors.

Boat Trailer: Larry has a list of items which need to be replaced – motion made to go ahead with repairs by Tom Newman, 2nd Ed Dunn, all in favor. 

Machine: Everything looks to be good, needs an NYS inspection.  Discussion made on last repair that Kyle did – everyone agrees that he needs to get paid for his work on the truck.  Motion made to pay Kyle $300 and give a coat at the banquet by Robert Simpson, 2nd by Brian Resseguie, all in favor.

Committee Report: nothing to report at this time – next meeting need a detailed report. Terry is all ready for the upcoming point system, discussion made to make the Spring Pull part of the point system. Lyndonville, VT has contacted Doug regarding using the truck, Friday night ahead of the State Fair, think it’s a done deal but will know more in the upcoming days.  Round up has also inquired about using the truck – but will let Doug know once they have their meeting on Saturday of whether it is a definite or not.

Chemung County inquired about having a few teams pull against some oxen, just to do a demonstration – will wait until we hear more from them and let people know if we need to find teams.

Larry brought up the pull at Owego Fair – as of right now we do not have a pull in Owego.  Larry will talk to John from the fair board to see if there is any update.

Fair Convention – few changes made but convention was pretty much the same.  Start time for Hemlock Fair was changed to 6pm.  Whitney Point will also have a horsepull again at 12noon on a Thursday.  Altamont has changed their date to a Wednesday rather than Thursday, and will pull in front of the grandstands.

Boat Sign:  Nate is working on a new one, will have before first boat pull.

Sound System:  Motion made to purchase wireless sound system which Nate checked on by Ed Dunn, 2nd by Robert Simpson.  All in favor.  Nate will take care of it.

Hats / Shirts: Larue talked to Caroline she would be more than happy to do the hats and shirts for the association.  Have sent the template for the embroidery to Caroline already, will work on getting an order in for the Spring Pull.

New Business

Spring Pull: Mini pull brought up – Larue talked to Fred Wolfer and they have scheduled a pull at a different location, so will not be pulling at Albion.

Spring Pull will be at Orleans County 4-H Fairgrounds on May 3rd.  4-H Club will have a concession booth the day of the pull.  Entry Fee and Premium will remain the same, entry fee $50/team, pay $1000 for 1st place, motion made by Nate Wooster 2nd by End Dunn.  There will be a welcome party again, will be in a hall located right on the grounds.  Would like to continue giving away blankets for 1st prize, and shoes for 2nd prize, Ed will check with Vince Warner on shoes to give away.  Doug will check on getting donations for blankets.  Sugar Valley Collar Shop,  DAC, and Pennwoods will be on the grounds for vendors.  Ed brought up maybe trying to find someone that sells shoeing supplies, to have as a vendor.  Larry will check with the DJ to see if he would be willing to travel that far to DJ the welcome party.

Ed mentioned parading horses in the beginning of the contest, and at the end so that people can see them, and know which team is which.  Jackson mentioned using the numbers at bigger pulls so that people know which team is which as well.

Old Business:

Larue would like to thank Terry for a great job he always does with the appreciation gifts.  Thank you to Tom Newman and the girls for working the door and taking care of the door prize tickets.  Would like to send a thank you card to Caroline Smith for the jackets along with the other prizes which she had embroidered; also like to send a thank you to Mel for all she does with the additional things at the banquet (candy bars, pictures, ets.).

Banquet: Terry mentioned that maybe we should think about moving the start time for the banquet up to 6pm, to try to get more people to come and stay longer.  For now we will keep it at the same time, 7pm.  Terry feels that there is something missing from the banquet - some kind of activity to keep people involved.  Terry brought up the band and whether to have them again; there was discussion of having a DJ.  We will try a DJ in the upcoming year.  We will tentatively schedule the banquet for November 8, 2014 at the Owego Treadway.

Sound System: Larry got an appraisal for a wired system, approximately $750, 300 watt output, 50 foot cords for each speaker - wireless would be approximately $2000.  Nate found the freedom system, cordless microphone and speakers.  One single speaker should work just fine - 6 hour run time, microphone can be 100 ft. from speaker, $2,215.00, has CD player and a 6 year warranty.  Brian asked if the system was weather proof.  Nate was not sure but will check and bring back to the next meeting.  Larue asked if Nate can get a brochure or some type of written information to look it over.  Larry will go back to HiWay HiFi and check on the wireless system and come back to the next meeting.

Machine: Doug has the machine undercover for the winter - the clutch hasn't been put in yet but will be done as soon as possible, along with the check on the antifreeze leak which was brought up at the last meeting.

Boat Trailer: Larry will get the brakes on the trailer fixed before spring - has an appointment to get them done.

Spring Pull: Ed has checked on a few places in the Syracuse area to see if they can accommodate 600-1000 spectators and horse accommodations.  The one place doesn't have enough room for that many people or that many horses.  The other place hasn't gotten back to him yet, so he will continue to reach out to them.  This facility would have an outside ring which if it is a nice day could have the pull outside.  If not there is an indoor arena.  Mike is checking with Fonda Fair - barns are outside with no enclosed stalls but they do have a brand new indoor arena.  Discussion was made and consideration of running the spring pull still on Easter weekend at the NYS Fairgrounds.  Everyone agreed we will not run another pull on Easter weekend as we feel it hurts our field of horses along with the crowd.  We still plan to have a spring pull but will determine the date and place once we hear back from Ed and Mike at next meeting in January.

JoJo contacted Doug about putting an ad on the calendar which she will be having made.  Rather then put an ad for the Spring pull we will just advertise the association due to no date set yet for the Spring pull.

Committee Reports: Nominating committee will be Ed Dunn, Mike Hartwell and Brian Resseguie (western directors will be up at the end of the year).

Point System Committee: Terry will be in charge of and will continue to give out the appreciation awards to the horse pullers.

New Business: Fair convention will be January 17-20th.  We will be attending 18th-19th.  Larue Austin, Doug Smith, Nate Wooster, Tom Newman, Jackson Sterle, Mike Hartwell, Terry Riese and Bob Simpson will go both days.  Ed Dunn, Bob Quail and Brian Resseguie will attend on Sunday; Kelly is a maybe - will let Doug know as soon as possible.  Larry Dodge can't make it either day.

We would like to update our horsepull website through Bill Torrey, motion made to approve by Larry Dodge, 2nd by Ed Dunn, allin favor.

Terry brought up the transportation of the boat and the mount which Larry is getting paid for taking it.  The boat hauled by Larry's personal vehicle not an association vehicle.  Will discuss at the nest meeting and try to come up with some kind of additional compensation.  Larue brought up the dynamometer and also the maintenance which is done before each pull to make sure it is good to go.  Bob Quail will continue to run the truck next year.

Spring Pull raffle will be discussed at the next meeting once we hear back on the location of the pull.

Larue brought up the possibility of having Caroline do all the shirts/hats and other garments.  Larue will get hold of Caroline and discuss options or possible books with options of what we can order.

Appreciation was shown for Lee Reichtel for all of the photos he takes at the pulls throughout the summer.  Also recognized Claude Brainard of Candor for becoming a new member and showing much interest in the horse pullers association.

OLD BUSINESS         How did the fair season go?  Were the fairs happy?  Any comments that BOD members may have heard…

  • Fairs where we paraded…people loved it.  We will have to continue to encourage pullers to get into the habit.  We will work on it again next year.  Will be up to announcer to get the  job done.

*Truck… needs to be winterized.  Needs a new clutch.  Has an anti-freeze leak.  Want to get it repaired before winter.

*Boat & trailer…Needs brakes.  Nate Wooster will take care of new signs (NYSHPA)        Both are broken.  He may need to be sent a reminder.

* SPRING PULL    Discussion continues on what to do about location and date.  Hamburg Equine Facility is totally booked.  State Fair people will give us the Easter date.  Sad fact but true.  Ed Dunn asked ‘ What if we don’t have a pull in 2014 at Fairgrounds?  He knows several big equine facilities that may be able to accommodate the numbers of horses and crowd.  He will check on them and report for next meeting (Dec. 2013)

INSURANCE ISSUE  Pullers are encouraged to get some sort of liability insurance. Mike Santore Insurance in Owego will be willing to answer any questions if individual insurance agents can’t answer His Number is (607) 687-1009

SOUND SYSTEM… Larry and Nate are looking into what type might work and the cost  Nate has recently been to a sale that had a great system.  He will investigate.  Larry will ask for an estimate from HiWay HiFi in Ithaca. Report in Dec about findings.

We will work on getting an award in Hap Andrew’s memory.  Hap Andrews Sportmanship award.  It will be given out (hopefully each year at banquet) to a horseman who is present.

 NEW BUSINESS: Visiting us was insurance agent from Owego, NY, Mike Santore.  We discussed insurance for the association and for individual pullers. Many associations have already put policies in place  The NYSHPA insurance will cover spectators only.  The pullers themselves are not covered in case of an accident.  Much discussion… Do we need to make a rule about each puller’s insurance?  Perhaps proof of insurance coverage shown before pullers are allowed to compete?

     Some pullers are covered under their homeowner’s policy.  How much do we suggest that each puller needs?  It was decided that the NYSHPA would recommend that pullers have $500,000  of coverage.  Motion was made  by Nate Wooster, seconded by Tom Newman  Vote was NINE say YES, ONE was OPPOSED.  Anyone with questions can call Mike Santore insurance at 607-687-

     It was decided to put  a notification about  this in the next newsletter. 

OLD BUSINESS

     SPRING PULL  Much discussion on how it went… Comments by people seemed to be concentrated on the date.  Doug explained what the Fair people had told him.  We only have a one day event and so we often get Easter weekend because other events want the whole weekend.  They are scheduled and we end up with the one weekend that has the holiday.  We are on the schedule in 2014 for the third Saturday in April ( April 19)  That will also be Easter weekend. 

     Discussion included where else we might have the Spring Pull.  Several places were talked about including the new horse facility in Hamburg. 

OLD BUSINESS  Are truck and boat ready for season?  Truck inspection is due..  Bob Quail asked if we could find another driver to help at some of the fairs when he cannot take off work.

POINT SYSTEM COMMITTEE   We have added Belfast and Franklinville to the Point System pulls.

·        Candor pull will be July 6th which is a Saturday this year.

        Secretary reports read and approved
 

        A discussion on how this year’s banquet went.  Not as many members attended this year which brought on a discussion of if we should do a pig roast style dinner sometime in the summer.  After discussing it was decided that we would stick with the banquet, the date is set for November 9, 2013.  We talked over whether we should have a band ( the band that we had 2 years ago) or a DJ.  Terry will ask the band and Larry will ask the DJ that he had at his party.
 

        We then discussed whether we should parade our horses after the pull.  Jackson stated that he feels that it should be mandatory for all teams to do this.  He then made a motion to do this seconded by Tom.  (All in favor)

 

        Machine was winterized by Doug.  Larue had the part made for the machine and it will be added before the season.  A new ruler will be purchased as well.

 

        The spring pull date has been changed because the grounds have been rented out to a bigger organization that will bring in way more money.  This will be for 2 years unless the other group decides they do not want it.  The new date that we have been slotted for is March 30th.  Different places for this to be held at were looked into but nothing has worked out.  Ed asked if we have looked into the Polo Barn at Cornell.  Doug and Larue said not at this point.  The question was asked do we even go ahead with this date.   Pros and cons were discussed, it will be cold and what if it snows really badly were more questions.  Jackson stated that we cannot cancel this pull.  Tom also said that we can’t this is what NYSHPA is known for.  Nate says he does not want to cancel but the chance of losing big time is a good possibility.  It was then asked that every board member say what they thought yes or no.

It was then discussed that seems how we are going ahead with the pull we should make sure we advertise as much as we can.  Jackson stated that he thinks we should send a letter inviting past pullers to join us again.  We can do this and something will be made up and sent out.  Mike said that he has someone that write for the country folks and his wife Sherry will write something to advertise and send it in.  Do we allow the minis to come back?  We should ask for more $ seems how they usually do not pay to watch the pull.  Doug will ask for $500 but Larue said do not scare them away.  Lots of extra help will be need to pull  off this event.  Tickets need to be sold and lots of them!

 

        Insurance what are some more options that we can look into?  Should we make it mandatory that all pullers have a proof of insurance to be able to pull?  Larry will ask his insurance man and Doug and Larue will meet another one and we will get more information for the next meeting.

 

        Next how did we feel the new rule worked this past season, having teams hook to the last load in order to win?  Discussion was had and the majority agreed that there really was no problem with this.  Terry however did write up how the rule can permanently read.  Larue said that he will call a few different clubs to ask how they work it and we would discuss this at next meeting with how it should read.

 

        Larry and Tom will find out from Wayne if the Skyline pull will happen again.

 

        Terry asked that we add a few of the smaller pulls to the points pulls.  After much discussion it was decided that we would not.

October 2012 BOD Meeting Minutes

The meeting was called to order at 12:30pm at Larry Dodge’s house on October 7, 2012.

Discussion about  State Fair money, that has not been received yet.  Money is owed to NYSHPA.

OLD BUSINESS: Fair pulls…any comments, questions or complaints about the new rule…much discussion.   (rule about teams having to hook) Most BOD members agreed that it worked well. Discussion about what consequences will be in place if teamsters refuse to hook. 

Altamont has not paid all of the horsepullers.  Doug will call again to see if we can straighten this out. 

Parading the teams after each pull.  This was discussed at length because it would clarify to the crowd what order the teams finished in.  Motion to table discussion until a later meeting was made by Tom Newman and second was made by Bob Quail.  All in favor.

A detailed report will be given at the December meeting with new members in place about making this the responsibility of the judge. ? 

Machine will be made ready for Winter by Doug.  It needs a pulley fixed.  We may have to order the part.  Doug will look into this.

Boat and trailer:  It is registered in Larry’s name.  We need a new metal ruler for the boat.  Can’t read numbers. 

The Association wishes to thank Larry Dodge for getting the July 4th pull going again in Candor.  They also wish to thank Wayne Dodge and Deby Drave for all of their hard work setting up and running the Owego pull. 

Harpursville would like a discussion about the Memorial Day pull.  We will discuss at a later date.

INSURANCE for pullers…Larry is to ask his insurance man to come to the December meeting.  Larue will also ask an insurance guy that he knows about  it.

BOD will plan an overweight pull for this coming year.  We will also decide at a later date to pull the heavy teams first at one of the pulls.

Much discussion about what to do about Syracuse.  We are not getting the dates that we have asked for.  Doug and Larue are going to a meeting (maybe in Dec.) to see what can be done about it.  This year’s date is March 31 and we worry about snow. 

Much discussion surrounding a new place.  Hamburg has it’s facility booked for several years ahead.  We discussed Cornell’s polo barn, Morrisville, Cobleskill, etc. 

PA system… Can we buy the system that we used at Union Fair?  Terry will check and ask if we can add more speakers to it.  At Hi-way Hifi in Ithaca, a new amp will cost between $300 and $400.

Discussion was about whether or not boat was ready to go.  Larry is going to do the transportation and will judge all boat pulls where NYSHPA boat is used.  Discussion about registration and whose name it should be in,  Larry will look into legalities of registration.  He will also keep track of gas and mileage for this season. 

Candor American Legion pull will take place again this year.  Date will be on the fourth of July.  Weight will be 3425 & over  Weights will be highlighted on July sheet.

Point System Committee: Terry Riese has nothing to report yet.  Discussion centered around  whether or not prizes will remain the same. 

NEW BUSINESS; Banquet this year will be held at Owego Treadway Inn and will take place on November 10.  BOD members have looked into having it elsewhere and will look into changing it next year.  Terry will ask  the band if they are interested in playing for us again this year.

We will have the hundred dollar raffle again this year.

Discussion about helping the Owego pull get started.  We will  give the Owego pull a cut rate on the machine operation.  Hopefully, we can make this pull an yearly event.  Motion made to help with cost of machine made by Doug Smith.  Second by Mike Hartwell.  All in favor  PASSED

Much discussion about how to make sure each teamster gets paid for their participation at the fairs.  Terry wants all participants to go home with at least a little cash.  Could we raise money by having a 50/50 at the fairs? 

Could we have at least one pull where the heavies pull first?  We will see if we can get permission from some of the fairs. 

Can we have at least one overweight pull ?  Terry makes a motion to have at least one overweight pull next year.  Second by Bob Quail.  All in favor  PASSED

OLD BUSINESS:

Doug gave report on Fair Convention Most pulls were signed up and have contracts signed that we had last year.  We have yet to hear from Dunkirk.  Fees for the boat and truck had to be raised because of increased costs of maintenance and fuel.  Discussions centered around the Tioga (NY) fair and Broome county fair . 

Franklinville wants to be added to the points system.  Discussion.  APPROVED

Insurance representative could not come to this meeting  We are still looking into what kind of insurance the Association needs and could afford.  Mike Hartwell will ask a friend to come and Larry Dodge will continue to pursue his insurance guy.  Report at next BOD meeting.

WORK DAY for getting the machine ready for the Spring pull will be April 1st  @ Doug Smith’s house   Will meet at noon.

Much discussion about adding a new rule to NYS Horsepulling rules.  Many spectators are confused and upset about pulls where the final pairs all quit.  We will revise the rules to add  ‘if two or more teams remain on the final load, everyone cannot quit.  Someone has to hook to win’  Wording will be worked on and we will consult other state’s rules.

DISCUSSION ABOUT BANQUET:  Many positive comments about the banquet.  Band was good this year.  Most people liked the food  A few suggestions about changing the menu.   We had 105 members and guests in attendance.

POINTS SYSTEM/ APPRECIATION AWARDS Comments?  Much discussion about whether to continue for next year  Can we afford this?  Decision was made to table the discussion until later in the horsepulling year.

Point Systems Committee:  Terry Riese has agreed to continue heading this committee.

Larry Dodge has agreed to take on the position of boat operator, judge and weighmaster for the year.

FAIR CONVENTION   Who will attend?  Many individual issues were addressed as to the fairs.  Discusssed were Walton, Altamont, Trumansburg, and Weedsport.   Also other fairs that we could approach for having a pull again? 

Discussion on raising the price of having the boat at pulls because of the higher cost of maintenance and fuel. 

Motion was made to renew our  membership with Horsepullresults.com  by Larry Dodge.  Second was made by Ralph Canniff Jr   ALL IN FAVOR

We will also ask Bill Torrey to help with our sponsors for the Spring Pull again this year  Spring  Pull will be early this year on April 7, 2012

We will again have the $20.00 raffle.  Doug will order tickets.

Discussion about whether we will again have a mini pull?  Have not heard anything.

MEMORIAL DAY PULL.   After much discussion, the decision was made to not return to Harpursville.  It is a sad decision, since the NYSHPA has pulled in Harpursville at the Legion since the 1940s.  We will explore other options for that weekend  Lisle will still have their pull on Saturday, May 26, 2012. 

Troy Maple Fest  in Troy, PA pull still uncertain.  Larue will look into it.

Larue Austin read the rules aloud and discussion followed as to the need to revise any or leave as is.  Questions and clarification about some of the rules followed.  We will ask for a copy of Ohio rules and do a comparison.

Discussion about insurance for participants in horsepull events  We will look into it.

  • Concerning Trumansburg, discussion regarding how to draw more teams.  We only had two teams in the lightweights this year

Machine has been winterized and is at Doug’s for the winter.  BOD will have a work day in March to make sure that machine is ready for season to begin in April.

NJ pull.  Wayne Vaughn called to ask for a donation to keep their pull this year.  There is some controversy between the State Fair and the Horse Show.  Larry Dodge will call and inquire about what the money would be used for. 

WEEDSPORT: probably no pull this year…Brian Resseguie will keep us informed if anything changes.

Boat is ready to go Mike Holm will be in charge of driving it to appropriate pulls. 

Machine has been worked on and is ready to go. 

Terry Riese will put out an informational questioner about each puller to gather info.  How can we improve the pulls,etc

Card of thanks for all of the donations for our door prize table was sent to Jojo Duvall (Doug took care of it)  A card also sent to Deb Williams thanking her for the donations of halters for our points competition. 

Discussion on what we can do next year to improve on the banquet…new start time?  Earlier?  Motion was made by Terry Reise to have the doors open at 6pm and dinner at 7:00pm. Seconded by Robert Simpson  All in favor. 

We will go back to the Treadway next year also. 

Brian Ressigue told how some people were pleased with the prayer that Larue read.

MORE OLD BUSINESS: Tool kit and tools to be kept on the machine.  Larry Dodge is looking into buying more tools  He has already purchased a tool box and a few tools.  We are looking into a box for on the back of the machine to keep tools, ropes, etc. in

Discussion about the cable for the machine.  Wayne has someone sending him the info about a sledge cable.

OLD BUSINESS:

Fair pulls: Comments/improvements recommended/what do we need to do for next year?  Discussion included Alexander (announcer could not be heard)..Hemlock (boat is in need of repair), Walton (seven teams were out of the money)

     Terry Reise pointed out that out of 16 fair pulls (32 classes), Twenty-two teams came away with no money.  How can we fix this problem?

Machine maintenance:  Cable on machine broke at Alexander, how can be maintain better?  It was suggested to change the cable every year or carry extra cable with the machine.  Also the machine has to have it’s own tools.  Larry Dodge has already started the collection of essential tools to keep with the machine.  Machine will be kept at Doug Smith’s house for the winter.  It is under cover.  Does the machine need a new starter?  Discussion

Boat maintenance:  Boat is currently at Larry Dodge’s house for some repairs to the trailer.  Will Mike Holm drive the boat this coming season?

Walkie/talkies  Nate Wooster will get converters so they can be continually charged in the vehicles. 

Thanks to Larry Dodge for  helping to get the pull in Candor at the American Legion going again after all these years.  They have expressed an interest in having it again this next year.

Much discussion ensued about increasing the points award for attendance.  Also discussion about paying non-winners.  We will work on this for next year.  One answer might be that we will have to be more persistent about contacting fair officials at the convention.  Not waiting for them to come to us but pursuing them, even if we have to go find them. 

We have a new pull scheduled for next year in Greenville, NY (near Albany?)  It is a boat pull. 

BANQUET  Scheduled for November 13th at the Owego Treadway.  We are going with a similar menu as last year and are still working on finding a band. Terry Riese will look into this. 

Discussion followed about prizes, raffle, set up and start time.  Volunteers to set up are Tom Newman and Bob Quail graciously volunteered his wife, Michelle!

OLD BUSINESS

 Spring Pull Discussion centered around what worked and what we would like to see improved in the future.   Everyone agreed that the chalk lines worked well.  We will work on a better way to keep the lines visible throughout the pull, We may need another person to monitor the arena. Food Services were discussed.  The food service is provided and we have very little say about it.  People complained that lines were long and it was expensive. 

A suggestion was made that thank you notes go out to all sponsors and those who helped at the Spring Pull.  Secretary will take care of this. 

Walkie Talkies discussed.  Bob Quail showed us what he has purchased.  The association purchased two mid-price range sets.  One for the machine and one to be kept for the boat.  They will need adapters so that they can be charges in the vehicles.  Wayne Dodge will pick up two of these. 

Larry Dodge reported on tires for the machine. 

We currently have TEN boat pulls scheduled.  We are waiting to hear from Carl Cannif to see if he can do these pulls.  He will bring the boat to Lisle.

 JULY 4 PULL   The Candor American Legion ( Route 96 )  has agreed and confirmed that they will sponsor a pull on Sunday, July 4.  ( 2 classes of horses on the machine) The legion will do the gate, run the 50/50, etc.  we will supply the machine, a judge, weighmaster, and bookkeeper.  Legion will supply the food. 

The annual banquet is tentatively scheduled for November 13, 2010 at the Owego Treadway.  Motion was made to have the $100.00 raffle again this year.  Motion by Jackson Sterle, seconded by Larry Dodge.  All in favor.  Discussion about ideas regarding the entertainment for the banquet.  Band? Deejay?  Terry Reise had an idea about several bands.  He will check with them and get back to us.

OLD BUSINESS:  Larry Dodge gave a report on his inquiry into how much it would cost to replace the tires on the machine.  Motion was made to replace tires by Jackson Sterle. Seconded by Jay Kessler.  All in favor. 

Other work needing to be done on machine before the Spring Pull was discussed.   Another new light and switch will be installed and transmission fluid  will be changed on March 28, 2010.  BOD meeting will take place at Doug Smith’s house on that date. (regular meeting time will be at noon.)

  • Welcome Party- arranged.  It will consist of pizza, beer, snacks from Frito Lay
  • Raffle- tickets were sent to BOD members and are being sold even as we speak.
  • Walkie-talkies   Bob Quail looked into a set of walkie –talkies to use during pulls.  Much discussion ensued and finally the motion was made by Jackson Sterle to buy two sets of radios (one for in the machine and one for  traveling with the boat) that can be charged in a vehicle.  Second made by Larry Dodge.  All in favor.  Bob Quail will purchase them.
  • Job assignments were given out for Spring Pull.
  • Bob Williams will donate shoes again for the second place finishers at this year’s pull.
  • Chalk lines will be added to the arena floor this year.  Only the teamster and his helpers (max 3) will be allowed inside the lines.  This worked well at the Farm Show Pa. this last January.

Point System Standings:  Much discussion on what changes if any should be made to the system and for prizes awarded for the upcoming year.  It was decided to leave it the same at least for this year.

FAIR CONVENTION REPORT

Contracts are coming in slowly.  Morris doesn’t have the money to have a pull this year.  Six fairs signed contracts at the convention.  They were Angelica, Hemlock, Boonville, Canandaigua, Hamburg, Walton and Trumansburg. 

Others are interested but we do not have their contracts back yet.  Many have contacted Doug Smith verbally and they all have contracts in hand.

July fourth pull was discussed.  Nothing set in stone yet.

Motion made by Jackson Sterle  for NYSHPA to run a pull in Harpursville, NY this Memorial Day (May 31, 2010)  Seconded by Wayne Dodge All in favor.

Topic of the winter maintenance of the machine was continued.  Machine will be housed at Doug Smith’s for the winter months.  Does it need tires?  Larry Dodge will look into cost of tires, etc.

Spring Pull details were discussed.  It is not too early to get the ball rolling.  Doug Smith will be contacting sponsors of last year’s Spring Pull to see if they are still interested in helping  this year.   They would be Horsepullresults.com, Jojo Duvall, Sugar Valley Collar Shop, Dr. Alan Perestam Chiropractic.  ( Julie Dodge will contact Alan).

Discussion about whether or not to have a mini horse pull at the Spring pull. Ideas were talked about at length. When would it be the best time to pull minis? 

In an effort to bring some more enthusiasm to the sport of horsepulling, Terry Riese had several ideas that he wanted to introduce for discussion. 

  • How about pulling the Heavy class first?  (much discussion)  How about trying at several fairs and see what happens?  (more discussion)
  • A gathering of horsepullers in the Winter.  For example, have a mid-winter pancake breakfast?
  • Have the machine operator do the weighing at pulls?

 Fair Convention discussion ( dates January 15-17, 2010)  NYSHPA will be represented on Saturday, Jan. 16 and Sunday, Jan. 17th . All in attendance have agreed to attend, some will drive up for one day only.  Much discussion ensued about what fairs to contact and what changes (if any)  we would like to see for the coming year.

Old Business:

Machine operator was brought up for the 2010 season. Eric Lutz has agreed to run the machine again next year.  Doug has agreed to keep the machine undercover throughout the winter.  There is regular maintenance that will need to be done; the board has agreed to do a run through in the spring to make sure everything is ok before the Spring Pull in April. 

The boat operator was brought up; we are going to check with Carl Canniff.  The board is going to check with other options in case Carl can not do it but will check with Carl first before any other options are explored.

Fair pulls were brought up.  Hemlock fair was brought up and the buckeye boat, there is some maintenance that needs to be done – the buckeye boat needs new hooks.  Bob Williams has agreed to fix the hooks on the buckeye boat as long as someone gets them to him.  We have had a few phone calls of new fairs that would like to have a horsepull in 2010.  We will see at the fair convention how things come about. Dunkirk also expressed interest in having another horsepull in 2010.

Blankets were brought up.  Tom Newman is going to pick his up and pay for them and Larue will contact Brian Resseguie regarding his set.

New Business:

Banquet was brought up.  The menu will be the same as last year.  Jay Kessler has agreed to do the door again at the banquet.  Entertainment was discussed the board has decided to get the same DJ as last year.  Door prizes were brought up, Larue has a CD of Spring Pull from 2009, along with some NYSHPA hats, Bob Williams will check with Deb and have her make a set of weigh halters to give away.

$100 raffle was brought up.  There are about 50 tickets that have been returned sold.  We will contact the ticket holders to check on the ones that are still out. 

Terry brought up recognizing the retired horsepullers, that still come to a majority of the pulls and go to the banquet, also recognize Mel Dodge for all of her help throughout the summer and all the pictures that she takes and passes out to the horsepullers.  Terry also brought up recognizing the helpers (hookers etc.) and also spectators that are in regular attendance, will discuss further at the next meeting

Spring Pull was brought up the date for 2010 is April 17th.  JoJo Duvall had called Doug and told him about an opening on her calendar for ad space to advertise the Spring Pull.  Doug agreed to advertise in the calendar, board all agreed that is a good plan.

.It was brought up to possibly find a full time announcer for the 2010 season.  We will check into some options throughout the winter.

Old Business:

Larue would like to send a card to Alexa Dhuy for singing the National Anthem, Mel Dodge for her time spent on the Sponsorship board, JoJo Duvall, Sugar Valley Collar Shop, & Melinda Keegan for coming and setting up their booths.  Doug also mentioned that Clark Williams is in the hospital due to breaking his hip after the spring pull, will send a card.

Spring pull was brought up, Doug had a few people called regarding the time spent on the mini-pull, would have liked to see a shorter mini-pull or have it after the heavyweight class.  Bob Williams brought up that we need to control the amount of people in the ring, have only horsemen and hookers in the ring – not spectators and everyone else.  Also, had a few calls on how the pull ended, spectators would like to see a definite winner.  Board agreed that overall it was a great pull.

Machine operator was brought up, Tom Newman states that Eric Lutz is going to run the machine for the summer, will start at Harpursville.  Doug has agreed to show Eric how to run the truck at Harpursville.

Larue will have the hats, and shirts at Lisle on sale for those who are interested, also the blankets were brought up.  Did not have a lot of interest in buyers – will keep them on display for a few more pulls.

Brian brought up Weedsport - heard from them and they have stated that they are still looking for sponsors, and are interested in having their pull on the 3rd of July.  The fair board has a meeting on the following Tuesday (the 12th) and will get back to Brian with results and if they are going to have a pull or not.

July 4th was brought up and options of where to have the pull, Wayne had tried to contact Owego Fairgrounds and did not hear back from them.  Options discussed were Oxford, Speedsville, or Eaton.  Howard will check with Oxford to see if we can use the field and see if the Lions Club or American Legion would be willing to cook the food while the association takes care of the rest.  If the pull for Weedsport runs on the 3rd of July, the board has decided that they will still run a 4th of July pull starting @ 1PM. Prize monies will be the same as previous July 4th pulls.

Terry Reise brought up the appreciation award for horsepullers.  Board has agreed that a horsepuller must attend at least 8 pulls to qualify for the award.  A horsepuller will only be counted for one pull no matter how many teams they have, one award per owner.  Each class will be counted separate (lightweights & heavyweights), entry names must be the same to be counted.  Motion made by Tom Newman to accept Option 1 (attend 8 pulls to be qualified – and must attend banquet to receive cash award – without bonus)  2nd by Wayne Dodge, all in favor. Old Business:

DYN operator was brought up, Tim Livermore at one time expressed interest in the job and when Doug re-contacted him and he didn’t show as much interest but hasn’t ruled it out completely.  Nate brought up that more than one person should know how to run the machine. 

Have talked to Carl Canniff and he says that he is planning to take care of the boat for the summer and have Kevin help him.  Doug contacted Harford fair.  Frank says that we can have two of their blocks; Doug will pick up the blocks sometime in the spring.

Fair convention report: We acquired one new pull in Dunkirk.  Hemlock will be starting at 5pm this year and be pulling on the racetrack in front of the grandstands.  We have signed the majority of the pulls from last year except Whitney Point, and New Paltz.

Terry Reise brought his ideas to the table regarding the amount that pullers should receive for most attended pulls.  He feels that pullers should attend at least 9 pulls in order to be qualified.  Terry will continue to do some more research on the topic and have a detailed breakdown at the next meeting.

New Business:

Blankets that are going to be sold at the spring pull were brought up and what we are going to have embroidered on them.  The board has agreed to have “New York State Horse Pullers Association” and possibly the logo if it is not too much of a cost.  Doug will check with Advanced Award and see if embroidering the logo is possible. 

Advertising for the Spring Pull:  No one currently has any other prospects to advertise at the spring pull.  Welcome Party was brought up; Doug will try and contact A.L. George regarding donating beer and will also contact Frito Lay regarding snacks.  Nate made a motion to once again get pizza and have same thing as last year for the welcome party 2nd by Jay Kessler, all in favor.   Mel Dodge stated that she would be willing to do the acknowledgement board for the sponsors at entryway.  Suggestion made to find someone to sing the national anthem for the Spring Pull, looking for options.

Old Business:

Discussion was made regarding the banquet. Terry brought up that someone had approached him regarding if you buy a $100 ticket you should be able to get into the banquet for free, topic will be discussed further at the next meeting & a motion will be made at that time.  Everyone agrees to run the raffle again in 2009.

A motion was made that everyone that drives a pair of horses that is an association or contract pull, has to be a member of the NYSHPA.  All members will be notified of the new rule on the next newsletter that is sent. Motion made by Jackson Sterle, 2nd Bob Williams, all in favor.

DYN operator was discussed, Dick DeBois had contacted Doug regarding running the machine, exploring options for other candidates before making decision.

The boat was brought up Carl Canniff has agreed to run the boat again this year.  Kevin Brigham has agreed to go along with Carl to help him out throughout the summer.  Blocks for the Association boat were brought up, Doug is going to contact Frank from Harford which have a few blocks and see if we can purchase a few of them for extra weight.  Carl has agreed to carry one more block on the current trailer.  Will check into and get back with answer at next meeting.

Larue thanked everyone for all of their help with the banquet.  Deb Williams for doing the halters, Mel Dodge for preparing the slide show that was at the banquet, and Wayne & Larry Dodge for calculating the point system.

New Business:

Spring pull was brought up; the date for 2009 is April 18th.  Larue brought up the $20 raffle; everyone agrees that we should sell the tickets and again this year, and also give a set of sheets to the winners of each class, Doug will order the sheets.

Discussion was brought up regarding horsepullresults.com, everyone agrees to once again donate to the webpage, and a motion was made by Tom Newman to send Bill $250 to advertise the association on the webpage 2nd by Nate Wooster.  Also, need to check with Bill to see if he will be willing to help find sponsors for our Annual Spring Pull once again this year.

Fair Convention which is January 17th – 18th there are four rooms currently reserved.  Larue, Robert S., Nate, Terry, Jackson, Tom, Wayne, Brian, Bob, Kelly, and Doug will attend.  Larry will try to make it for at least one day,

Hemlock fair was brought up, need to talk to the fair board about maybe starting the pull earlier than 6 PM.   Suggest starting the lightweight class at 1PM, need to also bring up why the pullers could not come up and stay on the fairgrounds after the Angelica pull will approach them at the fair convention. 

Weedsport was brought up.  Brian stated that there was a good turnout and a good pull will approach the board to see if they are interested in running a pull again this year.  Brian will also talk with Waterloo and come back with any information at next meeting.

Larue had a call from Howard; Howard heard that Angelica would like to use the Association boat.  Will mention to Martha at the convention and see where it goes from there.

Tom talked to Don from Walton, Don would like to purchase blankets Tom suggested maybe adding a few more prize monies to the premiums rather than blankets. Will talk with Don again and see if that could be an option.

Terry suggested giving horse pullers an amount for attending pulls throughout the summer.  Terry will come back at the next meeting with some figures on what he has in mind.  There were 18 contract pulls in 2008 and in order to be qualified you must attend at least 5 pulls.

Doug had been contacted regarding the point system in Pennsylvania; they had asked if the NYSHPA would be willing to include a few of their pulls in the Pennsylvania point system.  Wants two of our biggest pulls, suggested Hamburg and Angelica, brought it up to the board and everyone agrees that it is good to promote the NYSHPA with other associations.

Motion made to raise admission fee to $6.00 per person at all association pulls by Terry Riese, 2nd by Tom Newman, all in favor.

Discussion was made to sell blankets with the association’s name on them throughout the summer, just for advertisement for the association.  Motion made by Tom Newman to get 2 sets of each size – 90 and 100 – of sheets in any color available 2nd Jackson Sterle, all in favor.

Old Business:

Larue asked if there were any comments regarding this summers fair pulls.  Bob Williams brought up Whitney Point, and asked what they are going to do in 2009.  Agreement was that the overweight would run 2 years and then change to 2 classes.  Walton was brought up and discussed that everything went smooth, very nice place to pull, great crowd.  Alexander need to discuss about weight, can’t honor weight slips where some weigh 3400 and others 3300.

DYN is ready for winter, parked and under cover for winter at Doug Smiths.  Will check antifreeze before weather gets bad.  High pressure brought up currently at Doug’s.  Larry has the new ropes for next season, discussion was made regarding how long the ropes should be. 

Boat trailer is still at Carl Canniff’’s.  Carl says that he is willing to run the boat trailer next year.

New Business:

Banquet menu options discussed, had three sample menus to choose from.  Motion made by Nate Wooster, 2nd Jackson Sterle to go with same menu option as previous, Seneca Lake Dinner Buffet; selected for salads: house garden salad and red potato salad, entrees:  Char – grilled london Broil, stuffed chicken breast.

Entertainment: have not convinced Fred Wolfer to do the banquet.  Wayne suggested he knows a DJ that could do the banquet, will get a price and get back to Doug. 

Setup table for banquet, Jay Kessler agrees to do the door. Door prizes: association will put some merchandise up to give away, shirts, hats etc for prizes.

$100 raffle brought up, so far there are 59 sold. Have a few back unsold, some board of directors will take and try to sell.

Prizes for point system: same as last year 1st – blankets, 2nd – blue halters, 3rd – red halters, most pulls attended – green halters, motion made by Nate Wooster, 2nd Wayne Dodge, all in favor.

Motion made to have Spring Pull again in 2009 by Jackson Sterle 2nd by Bob Williams, all in favor.  Need to check to be sure that the dirt in the coliseum that was there during the state fair will not be in there in the spring.  Doug will check with the NYS fairgrounds, and hopefully get the date to JoJo so that she can have it put on her calendar.

Bob Williams brought up raising the membership dues, will have to notify all members by newsletter and vote on at the banquet. Discussed reasons for wanting to raise membership dues and effects it may have on the number of members in the future.  Decision made to forget about raising the dues.

Sue Simpson asked Doug if the NYSHPA would be interested in donating a pair of blankets for the Eastern Draft Horse Association fall round-up. Motion made to go ahead and donate the blankets if asked by the Eastern Draft Horse Association by Howard Smith, 2nd Larry Dodge, all in favor. 

Terry brought up getting the horsepullers more money in upcoming pulls in 2009.

Wayne brought up maybe working with other associations to get more advertisement to attract more pullers to come.  Put our pulls on other assoc. sheets, and their pulls on our sheets.

Discussion made to make new blocks for Association boat.  Will talk to Donny Cole to see if he still has forms to make new blocks.

Old Business:

Bob Williams stated that for the turnout at the Spring Pull, it was a very good pull.  Larry had a suggestion that once the lightweight is over and heavyweight is started that if someone comes in maybe give discount at gate, to try and get more people into sport, rather than charge $10 maybe charge $5 / person. 

Machine operator was brought up. Jackson spoke with Scott and Scott says that he is willing to run the machine Memorial weekend and throughout the summer at times, Don Wooster has expressed interest in running the machine.  Board discussed maybe splitting job between two people, going to speak with Don and see if he is interested in splitting job.  If job is split board is willing to pay both operators, while Don is learning. Larue will check with Don to be sure he will not be offended with splitting the job will figure out as soon as possible.

Talked to Fred Wolfer at the Spring Pull Welcome Party to see if he would be interested in being the entertainment at the Banquet, still hasn’t given an answer.  Will ask again to try and get an answer, if not interested we will have to find other options.

New Business:

Jay Kessler made suggestion to maybe send a tape of Spring Pull or any pull to a TV station to promote horsepulling and get more people aware.

Discussion regarding State Fair confusion with payment of employees, Doug will approach NYS fair with suggestion to have one form containing all workers wages to try and cut out all the paperwork.  Assoc will make up difference in wage.

Tony Ellsworth approached Doug that Brookfield is interested in having an overweight horsepull this year, same 2 year deal, as WP has.  Gave Tony figures but have not heard back from him, pull would run on a Thursday night.

Fair convention report given by Doug Smith.  Increased money for Canandaigua, Hemlock, Whitney Point, and Trumansburg.  Walton has contract but has not returned signed copy as of yet, waiting to hear back from them and then go from there.   Boonville and Angelica contract remains same, had agreement of keeping premiums and everything same. Horseheads approached us at convention regarding having a pull, sent list of current fairs and sample contract have not heard back from them. Letter from Bill Torrey was read regarding cost to renew service for maintenance of website.  Minimum donation requested $200 with a request for users to donate to sight themselves.  Board discussed what to send and ways to improve.  Board would like to have Bill update our site more often with new pictures.  Motion made by Wayne Dodge to send Bill $250 2nd by Jackson Sterle, vote all in favor.

Spring Pull advertisements submitted to The Draft Horse Journal and Country Folks as of now.  Discussions of other places to advertise through to try and attract more people, mentioned advertise in Buffalo area, or have mentioned on next Steam Engine newsletter, Doug will contact.  Discussed welcome party and what to have, Kelly agrees to order and get pizza for welcome party, Doug will contact Frito Lay to donate chips again this year, and get soda.  Brian will check on getting donation from Anheuser – Busch.  Discussed having vendors at Spring Pull as another attraction for Friday night and Saturday morning. 

Larue brought up needing an announcer for Spring Pull, Rusty will check with Jim Cady and get back to Larue with his answer.  Larue brought up that last year confusion in minutes regarding admission for workers.  Motion made that everyone pays and it will be at the discretion of the association to reimburse.

Old Business

Discussion of Whitney Point fair pull and all happy with outcome.  Alexander pull had most crowds of any event they ever have held and want to another pull next year. 

New Business

Point System Committee Report –Possible tie for 4th in the heavy.  Wayne will recount to verify.  How many prizes do we want to give away? Same as last year, 1 set blankets, 2 sets halters.

Discussion was held on an award for attendance at pulls.  Further discussion took place on whether to award anything if somebody already won in point system contests.  Halters will be awarded.  All in favor.

Nominating Committee read nominees for each position.   Motion to accept made by Wayne Dodge and 2nd Nate Wooster, all in favor.

Discussion of entertainment at the banquet.  Freddie Wolfer refused offer to entertain.  Doug will contact the DJ from last year.  Menu same as last year.  Cash bar at 6:30pm, dinner at 7:30pm.  Doug will check on room rate. 

Machine is at Doug’s and all set for winter.  Scott Blanchard has elected not to operate for 2008.  Pressure washer was not on the machine when Doug got it but Scott said he would get it to him.

Boat Trailer will be dropped off at Larry Dodge’s home after Clifton Springs for repairs. 

Slots machine revenue report given by Dwight Shoemaker.  Dwight read a letter written to request information on obtaining money from slots for agricultural events.

Point System committee report.  Wayne all set for this year.  New fair pulls of Waterloo, Weedsport and Alexander will be added as Point System Pulls.

Nominating Committee – nothing to report.

New Business

4th July Pull – no pony pull this year.  Job assignments – Weighmaster & judge – Larry Dodge, Announcer – Brian Resseguie, Books – Vicki Somes, Measuremen Lights – Jackson Sterle and Heavy – Wayne Dodge, Gate – Nate Wooster and Larue Austin, 50/50 raffle – Howard Smith and Bob Williams.  Food vendor all set, same as prior years.  A recording of National Anthem suggested by Wayne.  Watering tracking will be setup by Doug.

Suggested Freddy Wolfer entertain for annual banquet and may entice more western members to attend.  DJ from last year has already been contacted and has penciled in.  Possibility of hiring Freddy  at later date if DJ cancels.

Meeting minutes from December 3 were read and motion to approve made by Nate Wooster, 2nd Wayne Dodge.  All in favor.

Treasurer’s report read and motion to approve by Jay Kessler, 2nd Jackson Sterle.  All in favor.

Old Business

Fair Convention report given by Doug Smith.  Angelica and Boonville increased monies for championship.  Hamburg monies reallocated and dropped 3 places.  Whitney Point signed a contract for fair pull with an overweight pull held on the boat.  2-year max for overweight pull then must go to 2 classes. Morris may not be holding pull this year.  Talked to Owego but they never came to discuss contract.  No pull at Harmony, NJ this year due to lack of horses.  Honesdale has signed again.  Forksville and Harford are definitely having a pull but will not commit to contract until they hold individual board meetings to discuss fees.  Grahamsville and New Paltz are definite with increase in premiums.  Angelica officials asked that alcohol consumption be deterred on the track and they will mail all checks. 

Terry Riese offered thanks to the officers for attendance at fair convention.  He stated that we should anticipate the loss of 2 pulls a year and we need to be more aggressive to get more pulls to replace the ones lost.  Whitney Point has been approached for years and we were finally success. 

Point System – Wayne will administer the program again.  Discussion took place as to what pulls will be counted.  Jay suggested only pulls that are contracted and drug tested.  The following pulls will be counted:

Boat Trailer – Dwight, Doug and Larue assessed the repairs needed.  There are holes in floor and it was suggested that ¾ plywood be used to cover over top of existing floor.  Discussion took place regarding going over the top of existing or tearing off old flooring and replacing to keep weight factor down.  Boards on the trailer have been cracked in places but majority is okay to screw replacement boards to.  Larry offered to provide labor to strip down to iron to sand and paint frame then replace with plank.  Nate made motion to reimburse Larry for expenses on repairing boat.  2nd Jay Kessler.

Dwight reported findings on slots support.  Letter needs to be drafted and sent to state.  State has cut aid for agricultural events and has become more of a business to bring in events that will make money.  

New Business

Whitney Point Overweight pull – 1000 pound increments for rounds so the last weight in a round is then the first weight on the next round to eliminate having to load and unload blocks.  Choice of driver to ride or walk.  50 pound blocks will be used.  Block company in Binghamton that may donate half the block if their name is painted on boat.  Time is a factor to get the pull done in 3 hours.  Set minimum at 3500 and leave max open.  Blocks will have to be taken off at the end of each round before next round starts so no one is excluded from pulling.

Spring Pull – Sponsors are welcome and each member is encouraged to get more.  To date $300 from Comfort Inn and $500 from Sugar Valley, a harness shop.  The harness shop will bring some items for sale.  Sponsor info put in pull program.  Nate suggested inviting a horse equipment logging vendor to donate and participate with vendor space at the pull.  $.25 square foot will be charged for vendor space.  Discussion ensued regarding attracting vendors. 

Spring Pull Advertising – ads put in Draft Horse Journal and Country Folks.  Any ads that are placed need to state that there is a $10 admission fee.  Fingerlakes equine papers have requested to run ad in their papers.  Pennysaver ad will be investigated in lieu of “light sign” at Fairgrounds.  Welcome party?  Discussion took place regarding providing food.  Doug made motion we provide beer, soda, chips, cheese & crackers, etc.  Bob Simpson 2nd

Nate Wooster stated that all 50/50 tickets need to be same color for each pull.   Doug will get tickets. 

Terry Riese mentioned that he saw Keith Hill coming out of the hospital and suggested that the association recognize his past contributions as President of the association.   

Bill Torrey wrote letter to Doug stating costs to renew service.  Other associations have indicated interest.  Minimum is $150 with a request for donations from users of the sight.
